Position Summary for Housing Clerk in Lumberton, NC Mon-Fri 8am to 5pm

The Housing Clerk is responsible for completing various clerical functions as assigned. Responsible for receiving and communicating relevant information, processing, and tracking work orders for maintenance and repairs to ensure timely completion. Accurately enters work order details into system and assigns work orders to appropriate maintenance personnel as directed. Communicates with residents and agency staff regarding work order status, delays, and updates. Responds to inquiries and addresses concerns related to work orders accordingly. This position requires excellent written and verbal communication skills. Accountable for consistent adherence to strong Agency standards regarding the ethical, responsible, and appropriate use, care and safeguarding of Agency materials, supplies, resources, and other assets. Responsibilities

Undertakes and performs the following and all other work-related duties as assigned.

1. Responsible for receiving and communicating relevant information, processing, and tracking work orders for maintenance and repairs to ensure timely completion.

2. Performs a variety of other general clerical and administrative tasks to support the daily operations of the department and agency. Assists in the Reception area by answering incoming calls, copying, filing, greeting applicants, residents, and visitors. Posts tenant rent payments and assists with serving as backup in the reception area.

3. Responsible for handling client inquiries, scheduling appointments, maintaining files, and providing general supportive administrative assistance to staff.

4. Provides clerical support to assist designated departmental staff in the completion of their duties and responsibilities. May assist in the completion of application and recertification processes as directed.

5. Responsible for performing work order duties as directed. Receives incoming maintenance calls/notices concerning need for maintenance repairs of routine or emergency nature and responds in a courteous timely manner.

6. Determines nature of work orders and separates emergency, urgent, and general/routine work orders by category.

7. Accurately enters work orders into computer system and provides work order notification to proper maintenance personnel for dispatch.

8. Responsible for creating and closing work orders that have been completed.

9. Maintains work order filing system according to agency guidelines. Stores paper documents and information by preparing folders and labels, rearranging files for allotment of space, and filing in a timely accurate manner, ensuring files are properly labeled.

10. Performs periodic inspection of files to ensure correct placement and proper condition.

11. Processes/prepares monthly utility usage reports and utility billing notices for public housing residents.

12.Ability to organize and set priorities.

13. Ability to meet aggressive deadlines and manage multiple priorities.

14. Must maintain a professional appearance and portray a positive image for the Agency.

15. Must maintain punctuality and attendance as scheduled or required.

16. Ability to perform assignments independently upon receiving general instructions.

17. Ability to maintain various files, and documents in an organized manner

usually in an area that is adequately heated, cooled, lighted and ventilated.

Other Requirements

1. Must possess a valid driver’s license and maintain a good driving record.

2. Must work with the highest degree of confidentiality.

3. Must be available for occasional overnight travel for training.

4. Must be available to occasionally work outside of normal working hours if needed.

5. Must pass employment drug screening and criminal background check.

Job Type: Full-time

Expected hours: 40 per week
