We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. Duties

  • Manage office responsibilities, including greeting visitors and directing calls with professional phone etiquette.
  • Operate multi-line phone systems to handle incoming and outgoing calls efficiently.
  • Maintain accurate data entry, filing systems, and document management to support administrative processes.
  • Schedule appointments, manage calendars, and coordinate meetings using tools such as Google Workspace and Microsoft Office.
  • Assist with bookkeeping tasks, including invoicing, billing, and basic bookkeeping using QuickBooks.
  • Provide exceptional customer support through effective communication and problem-solving.
  • Perform clerical tasks such as proofreading documents, managing correspondence, and organizing files.
  • Support office management activities by overseeing supplies, maintaining cleanliness, and ensuring a productive work environment.
  • Handle confidential information with discretion and professionalism.
  • Support executives when required, including travel arrangements and task prioritization.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping and invoicing tasks.
  • Excellent phone etiquette and customer service skills to support client interactions.
  • Bilingual abilities are highly desirable to serve diverse clientele effectively.
  • Strong computer literacy combined with excellent typing speed for efficient data entry.
  • Ability to manage multiple tasks simultaneously with effective time management strategies.
  • Attention to detail in proofreading documents and maintaining accurate records.
  • Experience in office management or personal assistant roles is advantageous.
